Student Group Travel

Student traveling abroad with Cal Poly Faculty / Staff:

Please be sure to have your passport information readily available as you will need your passport number in order to complete the registration process. A checkmark will appear in the boxes under the "Received" column that you have completed each document form and student module. Please be sure to complete this information within 10 calendar days from the date you receive the link to the student registration or you may not be eligible to participate in the trip. It will take 15-30 minutes to complete both sections. 

NEW: All conditionally approved student travel registrations will incur a $200 fee starting with trips that depart January 1, 2018 or later. All This may include, but is not limited to, attending or presenting at a conference, conducting research, participating in an academic or athletic competition, participating in a club activity, or participating in a non-credit international field trip. This fee is in addition to any other expenses, including the foreign travel insurance fee.
This fee supports our efforts in maintaining standards of good practice in the planning and delivery of non-study abroad international programs. Specifically, the revenue helps cover the cost of program administration on international trips, including the development and maintenance of safety modules, program proposal review, planning and delivery of in-person and online pre-departure orientation workshops for students, faculty and staff, maintenance of software programs, student advising, and emergency response while abroad.The fee is non-refundable after the seven (7) calendar day grace period.  If the departure date is less than 3 weeks from when the student registration is completed, then there is no grace period and the student fee will be assessed the date the student registration is completed. The fee will appear on your student account page on your Cal Poly Portal.

All correspondence will be sent to the student’s Cal Poly email. Students who withdraw will need to contact their faculty/staff advisor for information on how to withdraw from their proposed international trip. Students may be responsible for other fees to their department or vendors and must follow up with them directly.

NOTE: All Cal Poly travel is subject to disciplinary and academic review. Students must remain in good disciplinary and academic standing in order to participate. Students that have been on disciplinary probation or are currently on disciplinary probation / review, should check with the International Center to verify their eligibility to participate. Travel expenses may be non-refundable.
